Be Part of the Journey acts as an intermediate between end suppliers and end customers, being subject to booking, payment and penalty policies of such suppliers.

Be Part of the Journey is not responsible for any damage, delay, change or cancellation arising from circumstances beyond its control. These circumstances include, but are not limited to fortuitous causes: natural disasters such as earthquakes, cyclones, storms, hurricanes, floods, fog, fires, pandemics, among others. As well as to causes of force majeure before or during the trip: wars, accidents, strikes, riots, terrorist attacks, demonstrations or civil commotion, etc., and to any loss, damage, accident, denial of income, traveler's legal matters, affairs of health or any other irregularity that may occur to the end customer. Likewise, it is the responsibility of the end customer to keep his/her travel documents up to date: passports, visas, necessary vaccinations, among others. Regulations can change before or during the trip.

ABOUT RESERVATIONS

Rates are confirmed by the end suppliers (hotels, transporters, cruises, airlines, etc.) once the client approves the budget. Rates are subject to change until the agency sends the complete payment to end suppliers. Client is responsible for paying such differences.

ABOUT CONFIRMATIONS

In order to confirm travel reservations of hotels and services, 50% advance payment is required. Rates are subject to change because of local currency exchange rate changes, and other unforeseen situations.

ABOUT AIR TICKETS

In all cases, 100% advance payment is required in order to issue tickets. Air fares are subject to change until issuance. Client is responsible for reviewing and approving in writing the routes, times and rates of such tickets.

DISCLAIMER:

*Ticket allows changes with penalty + fare difference + remission fee USD 60 per person

*Issuance Fee includes: flight search, reservation, issuance, monitoring, check-in and assistance in case of involuntary change by the airline.

*Lower fare is non-refundable

*Iberia, Emirates, Qatar tickets: promotional business fares do not include pre-selection of seats.

*Emirates Tickets, Qatar: promotional business fares do not include access to VIP lounges

*In case a ticket is purchased with several airlines on it, it is likely that it will not be possible to check in online for all flights, or buy additional ones (bags, seats), because the systems of different airlines do not "match" (does not apply to KLM and Air France).

*In case of buying seats, these are non-refundable. If they make a voluntary or involuntary change, there is a possibility that the amount paid will be lost. If the airline honors this, the seat available at the time of the change will be assigned (it is not possible to guarantee that they will have the same seat).

*In case of issuing tickets in different reservations (PNR), if there is an involuntary change, it is possible that the airline reassigns them in different flights.

*In the event that minors travel in a cabin other than their parents or accompanying adults, it is possible that an "unaccompanied minor" (UM) charge may apply.

*In case of buying separate tickets in different reservations, if the first flight is delayed or cancelled, it will be the same traveler who must bear all the expenses (rescheduling of the second flight, lodging, food).

ABOUT THE OPERATION

Check in at hotels generally starts around 3:00 p.m., and check out around 10:00 a.m. To confirm early check in and late check out. In order to guarantee either early or late check out, the client will need to pay the rate confirmed by the hotel.

In some destinations, triple rooms in hotels have 2 beds, that is, 2 passengers will have to share one of them, and although the request for the third bed is made, it is subject to availability at the time of check-in. Double / matrimonial rooms are subject to availability. The agency requests it but it will always be subject to the availability that the hotel confirms.

ABOUT PAYMENTS

Until final payment there may be variations with respect to the exchange rates of the currencies of the country or countries included in the trip. This difference will be subtracted or added to the final invoice.

In some destinations, triple rooms of the hotels have 2 beds, that is, 2 passengers will have to share one of them, and although the request for the third bed is made, it is subject to availability at the time of check-in. Double / matrimonial rooms are subject to availability. The agency requests it but it will always be subject to the availability that the hotel confirms.

All packages are non-refundable. The client has the option of postponing the trip in case it can be postponed, as some group fixed departures will not be possible to postpone.

The expenses generated by changes caused by force majeure reasons such as weather, social and / or political unrest, airport strikes, road stoppages, or by third parties such as schedule changes, among others, must be borne by the client.

No amount will be reimbursed for services not used voluntarily by the passenger, or due to the passenger's delay.

ABOUT THE REFERRAL PROGRAM

For each confirmed referral, a discount of $250 will be applied against your first trip booked with Be Part of the Journey on the following terms. To qualify for the discount for new clients, bookings must be confirmed for a minimum of $3,500 for hotels and services, exclusive of applicable taxes. Referred clients and those other individuals (if any) travelling with them on the trip booked must not have previously booked travel services with Be Part of the Journey. Discounts are calculated on a per trip booked basis and not on a per person basis. If two of your referrals book one trip for themselves and three other travellers, a discount of $250 will be available to you on your next trip.

The deposit for a new client’s first trip will be based on 100% of the trip price and the $250 discount will be taken off the owing balance due at final payment. The refer-a-friend discount should be presented at the initial stage of trip planning.

Refer-a-Friend Discount for past Be Part of the Journey’s clients:

For each confirmed referral, a discount of $250 will be made available to you on the following terms. Discounts apply to trips booked by past Be Part of the Journey clients. Discounts can be applied to any trip valued at a minimum of $3,500 for hotels and services, exclusive of applicable taxes. Discounts are calculated on a per trip booked basis and not on a per person basis. If two of your referrals book one trip for themselves and three other travellers, a discount of $250 will be available to you. The maximum allowable discount that can be applied towards any one trip taken by you is $3,500 (i.e., not more than 14 qualifying referrals). You earn the discount as of the first day of your referred booking’s trip - trips that are booked but then not taken or that are cancelled do not qualify for a discount.

You must communicate your desire to use some or all of your qualifying refer-a-friend discount during at the initial stage of trip planning. The deposit for any trip with eligible refer-a-friend discount will be based on 100% of the trip price and the discount will be taken off the owing balance due at final payment. Please note that refer-a-friend discount is non-transferable and cannot be gifted to friends or family.

General Terms Applicable to all Referrals

Refer-a-friend discounts cannot be redeemed with any of Be Part of the Journey’s cruise-based itinerary. Refer-a-friend discount is not combinable with certain specials and discounts. Ask your BPJ Travel Designer at time of booking. Be Part of the Journey reserves the right to alter or terminate the Refer-a-Friend program at any time without prior notice to you. All discounts earned up to the date of alteration or termination will remain valid towards future travel. Discounts are valid for one year from the start date of the applicable referred trip, after which the discount shall expire and cease to be valid.

We use information security techniques generally accepted in the industry, such as firewalls, access control procedures, and cryptographic mechanisms, all with the aim of preventing unauthorized access to data. To achieve these ends, the user / client accepts that the provider obtains data for the purposes of the corresponding authentication of access controls.

We will process your personal data, collected through the Website in order to send the requested contact information through the forms provided on the Website. The fields of these records are mandatory, and it is impossible to carry out the stated purposes if these data are not provided.

The personal data provided will be kept as long as the commercial relationship is maintained or you do not request its deletion.

As stated, the client declares that he/she is aware of and fully accepts these conditions, which constitute the sole, total and exclusive agreement of any pact or legal provision to the contrary, regarding the terms, conditions and restrictions of the contracted services.
